Terms of Service
Last updated: January 2025
Welcome to Our Family Letters. By using our service, you agree to these terms. We've written them in plain language because we believe you shouldn't need a law degree to understand them.
What we do
Our Family Letters is a service that helps you collect stories from loved ones. We send gentle questions by email (or voice), store the replies safely, and help you preserve them for the future.
Your account
To use Our Family Letters, you need to create an account with a valid email address. You're responsible for:
- Keeping your account credentials secure
- All activity that occurs under your account
- Notifying us if you suspect unauthorised access
Adding storytellers
When you add someone as a storyteller, you confirm that:
- You have their permission to add them and share their email address with us
- They understand they'll receive questions from Our Family Letters
- They can stop at any time by clicking the link in any email
We make it easy for storytellers to manage their preferences or stop receiving questions—no account needed, just one click.
Your content
You own your stories. All content submitted to Our Family Letters— whether by you or your storyteller—remains your property. We don't claim any ownership rights over your content.
You grant us a limited licence to store, process, and display your content solely to provide the service to you. This licence ends when you delete your content or close your account.
Acceptable use
Please don't use Our Family Letters to:
- Send questions to people without their consent
- Harass, abuse, or harm others
- Share illegal, harmful, or inappropriate content
- Attempt to breach our security or access others' accounts
- Use automated systems to spam or abuse the service
- Resell or commercially exploit the service without permission
We reserve the right to suspend or terminate accounts that violate these terms.
Payment and refunds
Our Family Letters offers a one-time payment for a full year of questions. By paying, you receive access to the complete service for that project.
If you're unhappy within the first 14 days and haven't yet received your first response, we'll refund your payment in full. After that, refunds are at our discretion.
We may change our prices, but any changes won't affect projects you've already paid for.
Service availability
We aim to keep Our Family Letters available 24/7, but we can't guarantee uninterrupted service. We may need to perform maintenance, and occasionally things break. We'll try to give notice when possible.
We may also modify or discontinue features. If we make significant changes that affect your ability to use the service, we'll give you reasonable notice.
AI processing
We use AI to help clean and organise responses. Our AI is designed to preserve the storyteller's voice—it fixes typos and creates summaries, but never invents or interprets content.
While we strive for accuracy, AI processing isn't perfect. The original, unmodified response is always preserved and available to you.
Intellectual property
The Our Family Letters service—including our website, app, brand, and original content—is protected by copyright and other intellectual property laws. You may not copy, modify, or distribute our materials without permission.
Liability limitations
We provide Our Family Letters "as is" without warranties of any kind. To the extent permitted by law:
- We're not liable for any indirect, incidental, or consequential damages
- Our total liability is limited to the amount you paid us in the 12 months before the claim
- We're not responsible for content submitted by you or your storytellers
This doesn't affect your statutory rights as a consumer, which cannot be excluded or limited.
Privacy
Your privacy matters to us. Our Privacy Policy explains how we collect, use, and protect your data. By using our service, you agree to our privacy practices.
Changes to these terms
We may update these terms from time to time. If we make significant changes, we'll notify you by email or through the app before they take effect. Continued use of the service after changes means you accept the new terms.
Termination
You can close your account at any time by contacting us. We may also terminate or suspend your account if you violate these terms.
Upon termination, your right to use the service ends immediately. We'll retain your data for a reasonable period to allow you to export it, after which it will be deleted.
Governing law
These terms are governed by the laws of England and Wales. Any disputes will be resolved in the courts of England and Wales, though we hope to resolve any issues informally first.
